This position is responsible for supporting the coordination and implementation of professional development multi day intensives training programs for the firm’s attorneys across the Americas.

 

  • Support program registration process including preparing invite lists, creating all courses in firm’s learning management system, sending invitations, tracking attendance and travel and other program details.
  • Manage production of program materials including pre-program materials, name badges, signage, sign in sheets, participant and faculty binders/folders, evaluations and all other printed materials for programming. Responsible for shipping all materials to program site in timely and professional manner.
  • Assist with all pre-program logistics including, but not limited to, coordinating deposit payments, catering, room set-up, and audiovisual needs. Assist with creating timelines and planning documents for programming.
  • Serve as project coordinator for programming. Track timelines and keep planning team on schedule.
  • Support on-site program logistics including, but not limited to, handling registration and program set-up. Work with internal and external vendors to ensure the program runs smoothly.
  • Coordinate post-program logistics including, but not limited to, coordinating program debriefs, tracking lessons learned, creating evaluation summaries, and facilitating the accreditation processes with vendors. Coordinate distribution of faculty gifts.
  • Provide recommendations for best practices for intensive registration and logistical processes.
  • Serves as department expert on mobile app system processes. Maintain best practices document and make recommendations for creative uses.
  • Proactively respond to requests from lawyers and seek additional information and resources when needed
  • Research venues and event vendors.
  • Prepare budgets and tracking expenditures.
  • Contributes to creative ideas and suggest new initiatives or areas of improvement.

  • Perform other duties, as may be requested.

Core Hours, Monday through Friday 9:00 a.m. 5:30 p.m. with additional hours as needed for program support.

Requirements

  • A minimum of 1-2 years relevant experience; event planning/meetings preferred.
  • Bachelor’s degree preferred
  • Proven competency in software applications and technology skills, including MS Office (Outlook, Word, Excel, PowerPoint) and other technology as adopted by the team
  • Highly detail oriented and organized
  • Able to manage multiple projects simultaneously while adhering to deadlines
  • Excellent written and oral communication skills
  • Strong interpersonal skills
  • Apply analytical and problem-solving skills
  • Self-motivated and able to exercise initiative

  • Willingness to travel outside of geographic area, as needed for training program on-site staffing roles
